Sending wires

How to Get a Quick Quote

  1. Enter your base currency amount.
  2. Select the foreign currency that you wish to send.
  3. Enter the foreign currency amount.
  4. Click Get Rate to obtain an exchange rate and amount in the target currency.
  5. Select Advanced Entry to add the beneficiary at this stage.
  6.  If you wish to proceed then click Create Order to complete the payment.

Create Orders

In order to send a wire outgoing you need the following information:

  1. Currency and Amount to send.
  2. A beneficiary added in the system.

 

To buy an order for an existing beneficiary

  1. On the top menu bar, click the Create Order tab.
  2. The Orders page opens. The Settlement currency and Settlement Account that you will use for this payment may be pre-selected according to your account settings.

TIP: Hover over the question mark ? on a field to get a tooltip.

  1. Using the drop-down menus provided:
  2.  Select Currency. CAD or USD
  3. Select Settlement Account. This is pre-populated with your available accounts.
  4.  Enter the name of the beneficiary.
  5. If a list is provided, select the beneficiary's name.
  •  If you have a saved beneficiary, CWB Wire Service will auto-complete the beneficiary's name when you press Enter.
  •  If you do not have a saved beneficiary for this payment click the Create Beneficiary button (see Create a Beneficiary) to create one, and then return.
    • To view your beneficiary's account details select View Beneficiary Detail.
    • A window opens with full details. You can edit the Beneficiary and Save it here.
    • To close, click in top right corner or click the Back button.
    • Click Update to change your beneficiary's details. A window opens with full details displaying Edit to the right of each row.
    • Select Edit to modify this beneficiary.
    • Select Save & Pay to return to your order.
    • To close without updating, select the Back button.
    •  To enter the amount to be transferred, either:
  • Enter the amount to be received by the beneficiary in their currency in the FX Amount field, or
  • Enter the amount to be sent to the beneficiary in your currency in the Base Amount field.
  •   Select the currency to be used for payment to the beneficiary using the Currency drop-down menu. If this is greyed out, it has been pre-selected due to the beneficiary's details.

 6. Add payment information from the options in the Payment Purpose Details pane.

NOTE: Some of the fields below are pre-populated from the information in the beneficiary account. You can change these fields using the drop-down.

  • Payment types: A drop-down list containing: Capital Transaction, Non Trade, Trade, or blank if unspecified.
  • Payment purpose: A drop-down list selected based on your payment type.
  • Client Payment Id: A text field to add payment identifying information. You can enter the Invoice Number here.
  • Payment Reference: A text field to add reference information.

7. Click Add to Order at the bottom of the screen to add the payment to the order. It is possible to have many payment items within one order.

8. To add additional payment items to this order, repeat Steps 2 on.

  1. To cancel this order before you quote, click Cancel.
  2. If enabled, you can check your transaction limit, click View Limit at the bottom left of your screen.
  3.  Click Get Quote.

The Order Details page appears showing the Rates and Fees for each transaction in your order.

8. Before clicking Submit, you can do any of the following:

  • To get a pdf version of the order, click the View Order Details button on the top right of the pane.
  • To save this order for reuse, click Save As Template, and enter a name for the template. Choose whether the template is public (shared within your company) or private (saved for your own use only), and if you wish to overwrite an existing template with the same name. Then click Save. A message will confirm the template has been created.
  • To view documents attached to the order, use the down-arrow to the right of the item and click Manage Documents.
  • To create another order, click New Order, and repeat to create order.
    • To edit this order, click Edit Order.
    • To update the quote, click Requote.
    • If you have an approval model set up, CWB client user must then click Submit.
    • An email is sent to the order approvers within your organization. They are also alerted on the Home Page.

 

Attach documents to orders

You are able to attach documents to orders from the Manage Orders tab.

NOTE: Once you have quoted the order, you can only view previously attached documents. Attachments are only visible within CWB Wire Service and are not sent to the beneficiary.

To attach a document to an order

  1. On the top menu bar, click the Manage Orders tab.
  2. Navigate to the order you wish to attach a document to. Click the plus sign (+) to open the order row.
  3. Click the down-arrow to the right of the Status column.
  4. elect Manage Documents.
  5.  Type in a title for this document.
  6. Attach a new document by navigating to your computer and uploading the document.
    1. Click Submit

     

    Print Order Details

    At any time in the process, both before and after an order has been committed, the information within this order can be printed for review. The View Order Details button is included in most views of the order or transaction pages. It produces a pdf version of the order.

    TIP: View Invoice and View Advice provide the same order information but in different formats. View Invoice is geared towards our client’s customer. View Advice is for our client’s own record or bookkeeping.

    To print order advice

    1. Select the order you wish to print. Select the plus sign (+) to the left of the order row to open the Order Summary
    2.   Click View Order Details to print the detail view of an order also known as the Advice Report.
    3.  If available, you can print a less detailed version by selecting the down-arrow on the order row and Print Advice.
    4. Reports open as PDFs and can be saved to your computer.

Save as Order Template

At any time in the process, both before and after an order has been committed, this order can be saved as a template to create another order from. The Save as Order Template button is included in most views of the order or transaction pages.

To save as template

1. Select the order you wish to print. Select the plus sign (+) to the left of the order row to open the Order Summary.

  • Click the Save as Template button.

2. The Save as Template box opens.

3. Fill out the fields:

  • Add Template Name
  • Select Visibility:
    • Private (only you can access this template)
    • Public (other users from your company can access this template)
  • Select Overwrite if this template is to replace an existing one.
  • Select Save or Close.

A message will indicate that your order template is saved.

Requote order
  1. On the top menu bar, click the Manage Orders tab.
  2.  On the top menu bar, click the Manage Orders tab.
  3. Click the plus sign (+) to the left of the selected order.
  4.  The selected order expands to display additional information and displays a minus sign "-" when it is open
  5. Click Requote on the bottom of the pane. Requote provides a more up-to-date rate of exchange.
  6. A message will inform you if your requote is successful.
  7. You can then Submit depending upon your privileges and the status of the order.
View and approve wires
  1. On the top menu bar, click the Manage Orders tab.
  2. On the sub-menu, click the Orders tab.
  3. Click the + sign beside Search. Enter your search terms into the Search box provided.

Approve Order

Users with approval privileges must approve an order before it can be processed. Follow these instructions to approve and place an order.

To approve an order awaiting approval

1. Orders awaiting approval will appear on the Home page when an order approver user logs on to CWB Wire Service.

  •  Under Orders for your attention, locate the orders pending approval link and click on it or
  • Navigate to the Manage Orders tab.

2. On the sub-menu click the Awaiting Approval tab. Select the order you wish to approve.

3. Click the plus sign (+) to the left of the Order Number to open the order details.

4. Click Requote and when the Approve button appears, click it.

  • If you have an approval model, you may see Submit. Click this and the order will travel to another approver before it can be placed.

 5. Actions available from the drop-down on the right of the Payment Details row, depending upon your privileges, include:

  • Reject item: To reject one transaction within a larger order.
  • Manage Documents: To add or view documents attached to the order.
  • Copy to New Order: To use this order to create a new order. Similar to creating a template, but for immediate use.
    • View Advice.
    • TIP: View Invoice and View Advice provide the same order information but in different formats. View Invoice is geared towards our client’s customer. View Advice is for our client’s own record or bookkeeping

 

 

 

Delete wires

You can delete an order if it has not been committed or approved. Deletion of an order means it does not proceed. It is not the same as rejection. A rejected order is sent back to the order creator for possible update.

To delete an order

  1. On the top menu bar, click the Manage Orders tab.
  2.  All transactions appear.
  3. TIP: Click on the column headers to reorder the list and find your order.
  4. Click the plus sign (+) to the left of the selected order.
  5. The selected order expands to display additional information and displays a minus sign (-) when it is open.
  6. At the bottom of the screen, click Delete
  7. Click Yes to confirm the action and CWB Wire Service deletes the order. Select No to return to the order.
Print invoice

Once an order has been committed, the invoice for this order can be downloaded in PDF format.

TIP: View Invoice and View Advice provide the same order information but in different formats. View Invoice is geared towards our client’s customer. View Advice is for our client’s own record or bookkeeping.

To view and/or print the invoice for a committed order

  1. On the top menu bar, click the Manage Orders tab.
  2. Open the Transactions sub-menu.

TIP: Click on the column headers to reorder the list and find your order.

  1. Click the plus sign (+) to the left of the selected order.

    The selected order expands to display additional information.

  2. Click View Invoice.
  3. The selected order downloads as "ORD ER_I NVOI CE. PD F" within your browser. You have the option to save it to your computer
Beneficiaries 

Create a Beneficiary

To add a new beneficiary

  1. Click the Beneficiaries tab on the menu bar.
  2. Click the Add Beneficiary sub-menu.
  3. Enter the beneficiary's details, and click Next.
  4.  Enter the beneficiary's address information and click Next to proceed. The Bank Account Details pane opens.
  5.  To find bank details, select Search by bank detail and enter the bank information into the fields provided. NOTE: If more than one bank branch appears in your search, click Select to choose the correct one.
  6. If CWB Wire Service cannot find a bank that matches your search criteria, click Enter bank details manually.
  7. When the bank information is entered, add the beneficiary's bank Account Number and applicable Routing Code if it is not already auto-filled.
  8. Click Next to proceed and Back to discard this entry.
  9. If correspondent bank details are required for routing purposes, click Add Correspondent Bank and repeat steps to define bank details. If you don't know the correspondent bank details, Canadian Western Bank will complete the routing details on your behalf.
  10.  The Payment options pane appears. Enter the payment description and options for this beneficiary using the menus provided.
  11. To save the beneficiary's information, click Save in the Payment Purpose details pane.
  12.  To save the beneficiary's information and send a payment immediately. Click Save and Pay to pay your beneficiary

Edit or Delete a Beneficiary

To view beneficiary details

  1.  Click the Beneficiaries tab on the menu bar.
  2.  Under Beneficiaries, select the Find Beneficiaries sub-menu.
  • Find Beneficiary by Name or
  • Search Beneficiary

3. Click the arrow to the far right of the beneficiary's name and select View/Edit

To edit a beneficiary's details

  1. Locate the beneficiary you wish to change. Click View/Edit.
    All of the existing beneficiary details will open.
  2. Select the Edit link for the area you wish to modify.
  3.  The area will open for modification.
  • Make your changes.
  • Select Save.
  •  When you are finished editing this information, and click Save or Save & Pay.

To delete a beneficiary

  1. Follow the steps to Search Beneficiary to find the beneficiary you wish to delete.
  2.  Click the arrow button to the far right of the beneficiary's name and select Delete.

A message screen appears.

3.Click Yes to delete the beneficiary, or click No to keep this beneficiary. CWB Wire Service saves the changes and returns you to the Find Beneficiaries screen.

Find Beneficiary by Name

Find beneficiary by name

  1. Your beneficiaries are listed by Familiar Name on the under the Find Beneficiaries sub-menu.
  2.  Click the plus icon + beside Search By:
  • Search filters appear above the beneficiary information.

Search Beneficiary

To search beneficiary by filters

  1. Click the plus sign + beside Search by .
  2. Enter the beneficiary's information into one or more of the boxes.
  • Beneficiary/Familiar Name
  • Country
    • The country of the beneficiary.
  • Currency
    • This is the currency that you are sending to the beneficiary.
  • Added within
    • This parameter allows you to choose from the following time periods
      • Last 1 day
      • Last 1 week
      • Last 1 month
      • Paid within
        • This parameter allows you to choose from the following time periods
          • Last 1 day
          • Last 1 week
          • Last 1 month
      •  Status
        • This parameter allows you to choose from the following
          •  Active
          • Requires Repair: This beneficiary must be edited.
      • 3. Click Search.

        Your beneficiary information appears below the search box.

 

 

Reports

View a Report

  • On the top menu bar, click the Reports tab.
    1. Select the report you wish to view from the list of Available Reports.
      NOTE: The list of reports available is based on your user level and privileges.

      The report creation screen appears.

    2. Use the fields provided to define your report.

      NOTE: Required fields are marked with an asterisk (*). These fields must be defined for CWB Wire Service to compile the report.

    3. Under Output, for most reports, select Save as CSV, and click Proceed. CWB Wire Service will prompt you to save the file.

    NOTE: CWB Wire Service will not display a PDF report if your browser blocks pop-up windows. Ensure that your browser is configured to display pop-up windows.

    Schedule a Report

    CWB Wire Service can generate and email reports to users based on a schedule you define.

    To schedule report generation and delivery

    1. On the top menu bar, click the Reports tab. 
    2. From the list of Available Reports, click the report you wish to schedule.
    3.  Configure the report according to your needs.
    4. In the bottom left corner of the report page, click ScheduleThe Report Schedule page appears.
    5.  Create the schedule using the options provided for frequency and data selection.
    6. In the Recipients section, in the box labeled User Name, enter the user name of the person who will receive the report.
    7.  To search for users, place your cursor in the User Name box, then hit Enter on your keyboard. A list of available users displays below the field. Select from this list.
    8. Click Confirm.
      A dialog box appears.
    9.  Select Yes if you want to schedule this report. Select No to return to the schedule page. CWB Wire Service will generate the report as scheduled, and deliver the results to the email addresses of the user(s) provided

Manage Schedule for Reports

After you have defined the reports and schedule for delivery, you are able to modify or delete these reports.

  1. To edit a scheduled report generation and delivery
    On the top menu bar, click the Reports tab.
  2. From the list of Available Reports, click the report you wish to schedule.
  3. Select Manage Schedule.
  4. A page displays the list of reports previously scheduled and all their parameters.
  5. NOTE: If you have just scheduled a report in the Reports area and do not see it in the Manage Schedule area, select Refresh to see it.
  6. Select Edit from the buttons available on the right of the report details row.
    If you select Edit, the report schedule page will open, and allow you to modify it.
  7. Modify the report schedule using the options provided for recipients, frequency, and data selection.
  8.  A message will ask you to confirm your action.
  9. Click Confirm.
  10.  Select Yes if you want to schedule this report. Select No to return to the schedule page.
  11.  CWB Wire Service will generate the report when scheduled, and deliver the results to the email address of the user(s) provided.

To delete a scheduled report

  1. On the top menu bar, click the Reports tab.
  2.  Select Manage Schedule.
  3. A page displays the list of reports previously scheduled and all their parameters.
  4. 3. Select Delete from the buttons available on the right of the report details row. 
  5. A message will ask you to confirm your action.
  6. Select OK if you want to delete this report schedule. Select Cancel to return to the schedule page.

About the Payment Report

The Payment Report is generated as .csv file.

This report enables the user to view comprehensive order / transaction data for a specified time period. Included in the report are all payment fields, including: client name, full beneficiary details, currency, amount, final approver and settlement account details.

The Payment Report provides the following information for outgoing payments:

  • Order Id
  • Line Item ID
  • Currency
  • Amount
  • Delivery Method
  • Rate
  • Fee type: Beneficiary
  • Fee
  • Lifting charge
  • Fee total by line
  • Base amount
  • Settlement currency

Payment Report

The Payment Report presents information regarding payments made using CWB Wire Service within the selected time period.

  1. To view a payment reportOn the top menu bar, click the Reports tab.
  2. In the list of Available Reports, click Payment Report. The payment report configuration screen appears.
  3.  Use the fields provided to define your report.
  4. Select Created or Updated using radio buttons.
  5.  The Payment Report generated will change depending upon which radio button is selected.
  6. Outgoing Payment Report screen:
    • Date Range: Select Created or Updated
    • Use the calendar tool to provide dates.
    • Amount
    • Order ID
    • Branch Code (Remitter)
    • Account Number (Remitter)
    • Min.
    • Max.
    • Delivery Method: Wire
    • Beneficiary and Order Status
    • Search Beneficiary
    • Order Status
    • Select from the drop-down list: Created, Quoted, Awaiting approval, Committed, Rejected, Auto debit fail, Pending disclosure or Cancelled.

  7. Under Output select Save as CSV, and click Proceed or to set up the report to run in the future, click Schedule

CWBdirect Business Online Banking Clients

If you currently have CWBdirect Business Online Banking, log into CWBdirect Business as usual. From the Home Page, click on the Transfers tab and then Wire Service in the left-hand menu. You will be automatically directed to the CWB Wire Service Home Page.

NOTE: The login credentials for CWB Wire Service are case sensitive, so you must log into CWBdirect Business with your login credentials exactly as they were issued to you.

Change Password

CWB Wire Service will prompt you to change your password regularly.

NOTE: For clients who are using CWB Wire Service as a stand-alone site, CWB Wire Service will prompt you to change your password regularly. We recommend that you change your password at least once a month. Clients who log on through CWBdirect Business will not receive these prompts.

Password Rules
Passwords must:

  • Be 8 characters or more in length.
  • Contain a combination of at least two mixed case alphabetical, numeric and/or special characters.
  • Not be the same as the account name or user ID.
  • Not be one of the last 13 passwords used.

To change your password

NOTE: These instructions apply only to clients who are using CWB Wire Service as a stand-alone site. This section is not relevant to clients who log on through CWBdirect Business.

Click User Settings in the top right-hand corner of the application.

The User Settings page opens.

  1. Enter your current password, followed by your new password in the fields provided.
  2. Confirm your new password in the third field.
  3. If you have not previously answered the Security Questions, the system will prompt you to answer three questions from a list.
  4. Select three questions and answer each one. These questions will be asked if you forget your password.
  5. Click Save.

Help

To access Help within CWB Wire Service.

1. Click Help in the button bar found on the top right-hand corner of the application.

Log Out

To log out of CWB Wire Service

1. Click Log Out in the top right-hand button on on the application.

A message appears: Are you sure you want to log out?

Select Yes to log out or No to continue.

 

 

Glossary

Glossary


Base amount

The amount of money sent, represented in the currency of the sender's account. So a Canadian company would send CAD or USD currency depending upon CWB account type.

Base Currency

Base currency is used by the sender to settle the transaction. For CWB clients, this can be either CAD or USD.

Beneficiary

The person or organization who receives your payment.

CWB Client

A CWB client is a customer of Canadian Western Bank (CWB) who has the ability to create wire orders for payment.

FX Amount

The amount of money sent, represented in the target currency using the quoted foreign exchange (FX) rate.

IBAN

An International Bank Account Number (I BAN) identifies bank accounts across national borders to facilitate the processing of cross border transactions. An IBAN number is usually attached in reference to the beneficiary account number for payments going to Europe.

Order

An order refers to the payment(s) coming through the system, not necessarily the delivery method of that payment(s). An order can contain one or more payments. Currently, all CWB orders are delivered via wire.

Swift Code

Swift codes are unique identification codes for both financial and non-financial institutions and are used when transferring money between banks.

Transaction

A transaction is an item within an order for payment.

Wire

A method of electronic payment where the funds are sent from one bank account to another bank account.
